Terms & Conditions

These Terms & Conditions govern every safari booked with The Big Five Safaris, operated by TBFS Trips Ltd (“we”, “us”, “our”). By paying a deposit or confirming a booking with us, you (“you”) agree to the terms below, alongside our Cancellation Policy, Refund Policy and Deposit Policy, which form part of this agreement.

1. Booking & Confirmation

A booking is confirmed once we have received your written acceptance of the final itinerary and your deposit has cleared. Until then, quoted lodges, camps and prices are held provisionally and are not guaranteed. You must be 18 or older to make a booking, and anyone booking on behalf of a group confirms they are authorised to accept these terms for every member of that group.

2. Deposit & Payment

A deposit of 30% of the total trip cost is due within 7 days of written confirmation to secure your safari. The remaining balance is due 60 days before your travel start date. Safaris booked within 60 days of departure are payable in full at the time of booking. Full details are set out in our Deposit Policy.

3. Pricing

Prices are quoted in the currency shown on your invoice and are held once your deposit has cleared, except where a supplier, park authority or government imposes a cost increase beyond our control, for example park fees, permit costs, fuel levies or exchange-rate movements. Where this happens, we will notify you in writing before any additional amount is applied.

4. Changes to Your Booking

Plans shift. Tell us in writing and we will do everything we can to amend dates, lodges or the itinerary itself, subject to availability. Changes requested less than 30 days before travel may incur supplier amendment fees, which we will confirm before proceeding.

5. Cancellations by You

If you need to cancel a confirmed booking, notify us in writing. Cancellation fees are calculated as a percentage of the total trip cost based on how much notice you give, set out in full in our Cancellation Policy. Your deposit is non-refundable in all circumstances other than a cancellation made by us.

6. Cancellations or Changes by Us

Occasionally a booking must be altered or cancelled for reasons beyond our control: civil unrest, extreme weather, park closures, or a supplier no longer able to honour a booking. Where this happens, we will offer the best available alternative first. If no suitable alternative exists, you will receive a full refund of all monies paid to us for the affected portion of the trip.

7. Refunds

Any amount due back to you is refunded to your original payment method. See our Refund Policy for processing times and what is, and is not, refundable.

8. Travel Documents, Visas & Vaccinations

You are responsible for holding a passport valid for at least six months beyond your travel dates, any visas required for Kenya or Tanzania, and any vaccinations or health documentation your destinations require. We are happy to advise, but we are not liable for denied entry, missed flights or additional costs arising from incomplete documentation.

9. Travel Insurance

Comprehensive travel insurance is strongly recommended for every guest, covering at minimum trip cancellation, medical treatment and evacuation, and lost luggage. We can recommend providers on request. Proof of insurance may be required before certain activities.

10. Health, Safety & Conduct

Safari travel involves inherent risk, and sightings of wildlife are never guaranteed. We are always candid about what a given time of year and route can realistically offer. You agree to follow the reasonable safety instructions of your guide at all times. We reserve the right to end the trip of any guest whose conduct endangers themselves, other guests, our staff or wildlife, without refund.

11. Our Liability

We select every lodge, camp and ground operator we work with personally, and take reasonable care in arranging your safari. We are not liable for loss, injury, delay or expense caused by circumstances beyond our reasonable control, including the acts of independent suppliers, airlines, park authorities or third parties.

12. Complaints

If anything falls short during your safari, tell your guide or contact us directly by WhatsApp on +254 701 885 050, so we can put it right while you are still travelling. Any complaint not resolved on the ground should be put to us in writing within 14 days of your return, and we will respond within 5 working days.

13. Governing Law

These terms are governed by the laws of Kenya. Any dispute that cannot be resolved directly between us will be subject to the exclusive jurisdiction of the Kenyan courts.
